Overview

PlanMate (“we,” “our,” or “us”) is an AI-powered calendar assistant that operates through WhatsApp and Telegram, connecting to your Google Calendar. We are committed to protecting your privacy and being transparent about how we handle your data.

What data we collect

When you use PlanMate, we collect and process the following data:

  • WhatsApp or Telegram chat messages sent to our bot, including text and voice notes, for the purpose of understanding and executing your scheduling requests.
  • Google account information: your email address and basic profile info, provided through Google OAuth, to identify your account.
  • Google Calendar data: event titles, dates, times, and descriptions — only as needed to create, update, or read events on your behalf.
  • Voice note audio: temporarily processed for transcription. Audio is not stored after transcription is complete.

How we use Google Calendar data

PlanMate accesses your Google Calendar exclusively to:

  • Create new calendar events based on your messages.
  • Read existing events to provide daily agendas and help plan your day.
  • Update or reschedule events at your request.
  • Send event reminders.

We use Google's official OAuth 2.0 protocol for authentication. Your Google password is never shared with or stored by PlanMate. We request only the minimum scopes necessary: calendar.events and userinfo.email.

How we store your data

  • OAuth tokens (access and refresh tokens) are stored securely on our servers. These tokens allow PlanMate to access your calendar on your behalf.
  • Chat messages are processed in real-time for intent parsing. We may retain recent messages temporarily for conversation context but do not build long-term archives of your messages.
  • Voice notes are transcribed using secure third-party services (OpenAI Whisper, Sarvam AI) and deleted after transcription.
  • Calendar event data is not stored by PlanMate beyond what is needed to fulfill your immediate request. Your calendar data lives in Google Calendar.

What we do NOT do

  • We do not sell, rent, or share your personal data with third parties for marketing purposes.
  • We do not use your calendar data for advertising or profiling.
  • We do not store your Google password.
  • We do not access calendars other than the one you authorize.
  • We do not retain voice note audio after transcription.

Third-party services

PlanMate uses the following third-party services to operate:

  • Google Calendar API — to manage your calendar events.
  • WhatsApp Business API — to receive and send messages.
  • Telegram Bot API — to receive and send messages.
  • OpenAI — for natural language understanding and voice transcription.
  • Sarvam AI — for multilingual voice transcription (Indian languages).
  • Supabase — for secure data persistence.

Each of these services has its own privacy policy. We encourage you to review them.

Revoking access

You can revoke PlanMate's access to your Google Calendar at any time by visiting your Google Account → Security → Third-party apps with account access and removing PlanMate. Once revoked, PlanMate will no longer be able to read or modify your calendar.

You can also stop using PlanMate at any time by simply stopping your conversation with the bot on WhatsApp or Telegram.

Data retention

We retain your OAuth tokens for as long as your account is active with PlanMate. If you revoke access or request data deletion, we will remove your tokens and associated data within 30 days.

Children's privacy

PlanMate is not intended for use by anyone under the age of 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify users of significant changes through our WhatsApp/Telegram bot or by updating this page with a new “Last updated” date.
